Add leave, allowances, documents or timesheets to your times
Depending on your specific business operations and industry requirements, you may need to add additional information in your shift hours. Specific details might be required consistently for each shift, while other information could be necessary only under particular circumstances.
Additional information could include:
- Leave
- Daily Allowances
- Documents
- A physical Timesheet

Add leave to your hours
When submitting your hours, you have the option to assign leave to that shift. This feature can be handy if you need to take a sick day or wish to begin your holiday earlier than planned, allowing for easy shift management.
Once the leave hours are applied to your shift, whether for a full day or part of a day, the hours will be sent to your manager for approval.
To apply leave hours to your shift for a full day:
- From the home page, select 'Times' from the menu.
- Select the relevant week starting if needed. This will default to the current week.
- Edit the shift by selecting the edit pencil icon.
- Unselect the 'Include shift hours' toggle. This will remove the worked hours from your shift. Then select the 'Leave' menu.
- Select 'Add leave' then enter the following:
- Leave type - Select the relevant leave type, e.g., Annual Leave.
- Leave amount - Enter the amount of leave hours you will be taking, e.g., 7.6 hours.
- Comment - Enter a comment as to why you are taking Leave.
- Select the green tick to apply your changes
- After you have made your changes, select 'Submit shift'.
To apply leave hours to your shift for a partial day:
- From the home page, select 'Times' from the menu.
- Select the relevant week starting if needed. This will default to the current week.
- Edit the shift by selecting the edit pencil icon.
- Adjust your worked hours to the hours you worked.
- Select the 'Leave' menu, then select 'Add leave' and enter the following:
- Leave type - Select the relevant leave type, e.g., Personal Leave.
- Leave amount - Enter the amount of leave hours you will be taking, e.g., 5 hours.

Comment - Enter a comment as to why you are taking Leave.
Note: You can select the 'Add leave' option again to add another leave type, or select the red bin to delete.
- Select the green tick to apply your changes.
- After you have made your changes, select 'Submit shift'. On the Times screen, you'll now see your submitted shift details, and your manager will see your leave hours associated with those shift details.
Add a daily allowance to your hours
If your business requires you to submit an allowance, you can do so by selecting the Allowance option when submitting your hours.
Some examples of various Allowances include:
- First Aid allowance
- Meal allowance
- Tool allowance
- Uniform allowance

To add a daily allowance to your shift:
- From the home page, select 'Times' from the menu.
- Select the relevant week starting if needed. This will default to the current week.
- Edit the shift by selecting the edit pencil icon.
- Select the 'Allowance' menu, then select 'Add an allowance'.

Choose the relevant Allowance from the drop-down menu.
Note: You can select the 'Add an allowance' option again to add another Allowance, or select the red bin to delete. - Select the green tick to apply your changes.
- After you have made your changes, select 'Submit shift'. On the Times screen, you'll now see a hand with coins indicating an allowance attached to that shift.
Add a document to your hours
When you're adding or editing a shift, you also have the option to attach a Document. You can easily take photos of documents with your phone and upload them directly.
Some reasons why you might need to upload a Document with your hours:
- A medical certificate
- Compliance document
- Receipt for a purchase that needs to be reimbursed
To add a Document to your hours:
- From the home page, select 'Times' from the menu.
- Select the relevant week starting if needed. This will default to the current week.
- Edit the shift by selecting the edit pencil icon.

Select the 'Documents' menu, then add the required document.
Note: Files must be .jpg, .png or .pdf, with a maximum file size of 10MB. - Select the green tick to apply your changes.
- After you have made your changes, select 'Submit shift'. On the Times screen, you'll now see an arrow icon indicating that a document is attached to that shift.
Add a timesheet to your hours
If your business requires you to submit a physical timesheet, you can do so at the bottom of your week under the Timesheet section.
To add a Timesheet to your hours:
- From the home page, select 'Times' from the menu.
- Select the relevant week starting if needed. This will default to the current week.
- Ensure all of your shifts for the week have been submitted.

Select the 'Add Timesheet' option, then upload your Timesheet for your submitted shifts for the week.
Note: When you upload a Timesheet for the week, it will automatically apply to every shift. - Once you have uploaded all of your relevant Timesheets, select 'Done'.
