Access, review and sign any outstanding documents sent to you by your employer
Within your foundU app, you can access any documents your employer has sent to you. When a new document is issued, it will appear in your app for you to review.
Open the document to read through the details, then follow the prompts to complete any required actions, such as signing or acknowledging receipt. Once completed, the document will be saved in your app for your records, so you can return to it at any time.
Some examples of these documents are:
- Your employment contract
- Letters of offer
- Notice of wage increase
- Change of employment agreements
- Employee deduction requests
Accessing documents while onboarding
Your employer can send documents to you at any time, during onboarding, throughout your employment, or whenever updates are required. These will always be available to review and action within your foundU app.
If documents are sent to you while you’re completing onboarding with a new employer, you will receive an email notification letting you know they're ready to review and sign.
During onboarding, your home screen is focused on completing your onboarding steps, so you won’t see the usual call-to-action cards.
Instead, you can access any sent documents by selecting the Documents button at the bottom of the screen. From there, simply open the document, review the details, and follow the prompts to sign or acknowledge it.
View and sign your documents
When your employer issues a document, you'll be notified via email or SMS. If you're an active employee, you'll also see a call-to-action on the home screen of your Employee App.
No matter how you access the document, the process for reviewing and signing remains the same, whether you're completing onboarding or already working as an employee.
To sign documents sent to you:
For current employee's on your home page, select the Pending Documents call-to-action card. This will navigate you to the document. Additionally, because you are accessing sensitive information, you will receive a verification code.
Scroll to the My documents section where the status of the document says 'Pending Approval' and select the Review & sign blue button.
- To review the document, select the 'click here' link. This will download your document as a PDF.
Once you're happy, scroll to the bottom and select Sign and Approve. A pop-up window will appear showing where you can add your signature digitally. Then select Submit.
- Once signed, your document will have the status of 'Approved'.
Viewing your signed documents
Once your documents have been signed, they're securely stored and can't be deleted, providing a reliable record for reference at any time. You can view and download your signed documents whenever you need them, even after your employment has ended.
To view your signed documents:
From the home page, navigate to the main menu > View Profile > Documents.
- As you are accessing sensitive information, you will be sent a verification code.
- On the Documents page, scroll to the bottom of the page to the My Documents section.
- From here, you will see a list of all documents sent to you. To download, select the download icon.
