Edit or delete a leave application, and the reasons for when you can or can't modify a leave request
From your Employee App, you can conveniently submit leave applications directly to your manager, streamlining the approval process. The app also lets you edit or delete leave requests.
Being able to edit or delete your applications is particularly useful when:
- You need to take additional days off
- You need to correct the hours submitted
- Cancel any planned leave due to unforeseen circumstances
- Change the leave type being redeemed
When can or can't I edit my leave application
When circumstances change, you can edit your leave applications to keep your request accurate. However, there are some important considerations to keep in mind before making any edits.
Below are the reasons why you can or cannot edit your leave application.
You can make changes to a leave application if:
- The leave application is still pending approval from your manager
- The leave application has been approved, but has not yet started. Keep in mind, in this instance, if you make an edit, your application will need re-approval from your manager.
You cannot make changes to a leave application if:
- The leave application has been approved, and your leave has started.
- The leave application has been paid in full or partially.
Edit a leave application
After you have requested leave, there may be times when plans change and you need to revise your leave application. Editing your leave application lets you quickly:
- Reduce or extend the number of days requested
- Adjust the number of leave hours for a day, such as changing 7.6 hours to 5 hours
- Update the leave type, for example, changing from Annual Leave to Personal Leave
- Modify the reason for taking the leave
To edit a leave application:
From your home page, there are a few different ways to get to the Leave page:
- Using the Quick Menu at the bottom of your screen: Quick Menu > Time Off > Leave.
- Using the Main Menu at the top of your screen: Main Menu > Time Off > Leave.
Note: Selecting the Apply for leave button will take you to the leave application workflow. Use the other options to view your current leave applications.In the Upcoming leave section, select the Leave application you want to edit.
- There are two ways to edit your leave application, depending on the information you need to update. These options are:
Select the ellipsis > Edit - This approach takes you back to the beginning of the leave application process, allowing you to modify the dates, leave type, reason, and hours.
Contact: If you are unable to edit the hours per day or are requesting more hours than your weekly maximum, please contact your manager.Select the number of hours - This option lets you adjust the number of leave hours for the relevant day(s) in the leave application. It's useful if you only need to update the hours and not any other details.
- Review your leave application, make the desired changes and confirm the details are correct. Once reviewed, select 'Update request' to resubmit your application.
Your manager will then receive a notification to review the leave application. You will be informed of the result via email or SMS.
Delete a leave application
You can do this using a similar process if you need to delete an application completely. Deleting a leave application is permanent and cannot be reversed. If a leave application is deleted, a new one will need to be submitted.
To delete a leave application:
In the Upcoming Leave section, select the Leave application you would like to delete.
Select the ellipsis > Delete.
You will then be prompted to confirm that you want to delete the application. Once deleted, a pop-up at the top of your screen will confirm that the deletion was successful, and the leave application will no longer appear under 'Upcoming Leave'.
