Apply for leave
When it is time to book your holiday or some personal leave, you can do so conveniently from your app. The first step to using leave is figuring out where it's located in your app. All updates and requests related to leave are handled from this one convenient spot.
To request leave:
-
From your home page, there are a few different ways to get to the Leave page:
- Using the Quick Menu at the bottom of your screen: Quick Menu > Time Off > Leave.
- Using the Main Menu at the top of your screen: Main Menu > Time Off > Leave.
Select the Apply for Leave button (this will put you into the workflow; skip to Step 3).
-
From the Time Off page, select the type of Leave you would like to use for your request or the + button.
-
Select the relevant day(s), then select 'Confirm x days' to continue.
- Review and complete the following:
- The requested leave type will be highlighted; if needed, you can change it here.
-
Provide a Reason for leave.
Note: If you do not have sufficient balance, you can still submit a leave application; however, you will receive a warning stating that the remaining balance, if approved, may be/ unpaid leave.
-
Once you have confirmed your leave type and entered a reason, select 'Use XXXX Leave' to continue.
-
Review your leave application and confirm the details are correct.
Note: If any hours are incorrect, you can edit them per day here. -
Once reviewed, select 'Send Request' to submit your application.
Your manager will then receive a notification to review the leave application. You will be informed of the result via email or SMS. This includes whether:
- Your leave has been approved, or
- Declined (with a reason if declined)
Furthermore, you can update any of your upcoming leave requests if needed. After you make your changes, your application will be forwarded to your manager for review.
Apply for a partial day of leave
There might be situations where you don't need to take a full day of leave. When these instances arise, you can instead apply for a partial day of leave. This is useful when:
- You need to apply for multiple types of leave
- You are only taking time off for part of the day (e.g., going to an appointment)-
- You leave work early or go home sick
To apply for a partial day of leave:
- From your home page, navigate to Time Off > Leave. You can also access leave from the 'Apply for Leave' option.
- From the Time Off page, select the type of Leave you would like to use for your request or the + button.
-
Select the relevant day(s) you will be applying for. You will then have the option to choose whether you want to:
- Take partial leave on the first day
- Take partial leave on the last day
- Specify the time when the leave starts or ends and the number of hours for that day. You can even take 15 minutes of leave, simply enter 0.25, as you'll need to convert to hours.
- Review and complete the following:
- The requested leave type will be highlighted; if needed, you can change it here.
- Provide a Reason for leave.
- Once reviewed, select 'Send Request' to submit your application to your manager.
View leave balances and upcoming leave
You can view your leave balances and upcoming leave at any time in your app. When checking leave balances, there are three key points to keep in mind:
- You will see your current balances on the leave page or an infinity symbol if the leave type doesn't have a cap, such as LWOP.
- Your leave balance might not be visible; instead, you'll see an eye symbol. This indicates that your employer has chosen to hide your balance. However, this does not prevent you from submitting a leave request.
- You will see an estimated balance when you submit a leave application; it indicates your balance for the period you are requesting leave for. This may also exclude any other leave applications you have approved.
To view leave balances and upcoming leave:
- From your home page, navigate to Time Off > Leave.
- Here you can:
- View available leave balances. You can scroll to the right if you have several entitlements.
- See all your upcoming leave. You can edit your application here if needed.
View leave history
In the Time Off section of your app, you can view a history of approved, declined, or processed leave. If leave is applied to one of your shifts, it will also appear here, making it easy to see all the leave you've taken previously. To view more details about a specific application, you can select it.
To view your leave history:
- From your home page, navigate to Time Off > Leave.
- Scroll down to the History section. Here you will see a list of your past leave applications, along with whether each was approved or declined.
- Select a specific leave application to view more details of the application.
