Convenient clocking from your mobile phone
If your job requires you to be on the go or remotely, your employer may allow you to clock for your shifts and breaks straight from your phone using the Employee App.
In this guide, we will go through how to clock using the Employee App, including:
- Preparations you need to do before you can clock your shifts
- Clock in at the beginning of your shift
- Clocking in for unrostered shifts (if you're called in but you weren't rostered initially)
- Providing information when clocking
- Photo capture
- Clocking for breaks
- Clock out at the end of your shift
- Clocking FAQ's
Clocking from your app is one method that your employer may choose to use. Instead, they may decide to have you clock on-site using the iPad. If this is the case, please refer to this article instead.
Preparations for Employee App clocking
Before you start your shifts, you will need to make a few preparations to ensure that your device is ready so you can clock in on time. These include:
- Downloading the Employee App from the App Store or Google Play
- Making sure your phone has Location turned on
- Enabling location permissions for the Employee App
- Enabling camera permissions for the Employee App
For guidance on using location services on your device, please select from the following guides:
- For iPhone, refer to this guide
- For Android devices, see here to turn on Location on your phone, and here for app permissions
Once logged into the Employee App, the 'Start shift' icon will appear on the home screen.
Contact: If you don't see the 'Start shift' icon on your Employee App home screen, your business may not be using the clocking functionality on the Employee App.
If you are required to clock from your mobile, you will need to contact your manager to enable this function.
Starting your shift
Once you're set to begin your shift, you can do so using your Employee App. You have the flexibility to start your shift whenever you're on-site.
This could be for your rostered shifts, starting early if asked, or beginning unrostered shifts if you're called in.
To Start Shift:
- From the Home Page, select Start shift.
- The next steps will depend on whether you have been rostered to work or called in:
-
For a rostered shift - Review the shift details and select Start shift. Once you've started your shift, you can see the details and remaining duration of the shift from the SHIFT BOX.
-
For an unrostered shift (Called in to work) - You will need to select a roster and provide a reason for clocking in without a shift. Then select Start shift.
-
Providing information to your manager
When you start or end your shifts, you may be asked to provide additional information to your manager. These fields are mandatory and can happen for a few different reasons, including:
- When clocking in/ out early or late to your shift
- Starting an unrostered shift (if you are called in)
- Answering questions set by your manager
- When you're too far away from your workplace
Any comments or photos you add when you start or end your shift will be reported through and read by your manager.
Photo capture
When you start or finish a shift, your employer may require you to take a quick photo before you can Start or End your shift. If this feature is enabled by your employer, taking a photo is required to complete the clocking process.
The first time you use this feature, you'll be prompted to allow the foundU Employee App access to your device's camera. Camera permissions must be enabled before a photo can be taken and your clocking action completed.
If camera access is not enabled, you'll receive an error message asking you to update your device permissions before continuing.
Taking your breaks
You can clock both paid and unpaid breaks, including those that have been rostered or for any unrostered breaks when necessary.
If you work split shifts on the same day, it is important that you check your upcoming shifts, so you know when to:
- Start or end a break
- End their first shift and start their second shift
To clock for a break:
- To start a break, from the Home Page, select Break.
- The following steps will depend on whether the break is rostered or not:
- For a rostered break - Select which rostered break you are starting.
- For an unrostered break - Select if it is a Paid break or an Unpaid break.
- If your break is rostered and started, you'll see a countdown SHIFT BOX informing you of how long you have until your break ends.
-
To end a break, select End break.
Ending your shift
Ending a shift is done when you are looking to complete a shift; once done, no further breaks or comments can be added for this shift.
To End Shift:
- From the Home Page, in the SHIFT BOX, select End shift.
-
Complete any additional comments, questions or take a photo as required.
